Position Summary:

The Marketing Assistant will work closely with the VP of Marketing and the Director of Marketing to provide administrative support to the larger Marketing Department. 

The successful candidate will organize monthly billing submissions, ongoing project requests, in-house printing tasks, and other daily administrative functions essential to the marketing and executive teams.  

 

ESSENTIAL FUNCTIONS

Team Financial Administration

  • Weekly submissions for marketing invoices and expense reporting
  • Ongoing budget tracking
  • Monthly credit card reconciliation, monitoring expenses, and organizing receipts
  • Organizing and filing advertising contracts

 

Additional Administrative Responsibilities 

  • Utilize templates to create VIP guest vouchers and other printed amenities
  • Organize and coordinate VIP amenities with appropriate teams as needed
  • Liaison for marketing communications including fielding external calls for the VP of Marketing and Director of Marketing, and acting as gatekeeper for the marketing phone line
  • Daily monitoring and response to departmental email inquiries
  • Receiving mail and distributing mail to appropriate team members
  • Scheduling the weekly marketing conference calls and other team meetings as needed
  • Keeping marketing spaces clean and organized; includes monthly cleaning such as dusting and vacuuming as needed
  • Printing large scale photos and other assets as needed by executive team
  • Monitoring and organizing marketing storage in the Executive Office and in the Services Building
  • Overseeing the daily Run list; courier deliveries between properties
  • Assisting the marketing production team with overall project/task management and fulfillment
  • Monitoring marketing collateral inventory/par levels; coordinate with the Purchasing Department
  • Coordinate brochure distribution to our other properties

 

 

 

 

CANDIDATE PROFILE

Knowledge, Skills, Abilities, Education: 

  • High school diploma or GED
  • Working knowledge of Microsoft Office applications
  • Experience in administrative positions preferred but not required
  • Analytical/Critical Thinking - The ability to gather and organize information using a logical and systematic process; recognize patterns and relationships in complex data; examine data to identify implications, problems and draw appropriate conclusions; generate alternative solutions to problems; evaluate strengths, weaknesses and consequences of alternative solutions and approaches to solving problems.
  • Intermediate Computer Skills - Using basic computer hardware and software (e.g., personal computers, word processing software, Internet browsers, etc.). The ability to quickly master new software.
